PROTECTION OF PERSONAL DATA
DG MOVE is responsible on behalf of the Data Controller (the European Commission)for the Eltis portal and service and is committed to the protection of personal data, in accordance with Regulation No. 2018/1725 of the European Parliament and Council of 23 October 2018 on ‘the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data’. Your personal data will thus be processed in conformity with the above-mentioned Regulation.
The European Commission has appointed a Data Protection Officer who is responsible for monitoring and the application of data protection rules in the European Commission. The data protection officer independently ensures the internal application of data protection rules in cooperation with the European data protection supervisor.
The Eltis consortium (led by Ricardo-AEA Limited) processes the data on behalf of the European Commission. Should you have any queries about the processing of your personal data, both regarding access to data and rectification of these data, you are invited to send your request to helpdesk@eltis.org.
You also have the right to apply at any moment to the European Data Protection Supervisor.
All official mail or any kind of communication sent via the Contact Us form is automatically forwarded to the Eltis Team and/or the appropriate consortium partner to take appropriate action.
Although you can browse through Eltis without giving any information about yourself, we do require certain personal information in order to grant you access to some parts of the portal. We treat this information according to the privacy policy statement.

PRIVACY POLICY STATEMENT
When you register to become a Friend of Eltis, to subscribe to the Eltis Mobility Updates (monthly email newsletter) or to submit content to Eltis, we save your private data in our systems and disclose publicly only the basic information: first name, last name and organisation. You can access all the information disclosed with us at any time, verify its accuracy and, if necessary, correct it. In order to do this, please log in into your profile and adjust everything that is necessary. You can also change your preferences regarding what personal information will be disclosed publicly in your public profile or delete the profile completely.
All personal details disclosed by registered users to this website remain fully in their control. The users can opt out of the public profile, delete or modify any of their personal details at any time through the edit tab in their respective profile settings. The Eltis consortium does not copy or modify this information in any way and uses it solely for the purposes of the Eltis Platform, its Forum and Eltis Mobility Update newsletters. The Eltis Platform never discloses personal information to third parties without prior approval. We do not divulge your personal data for any marketing purposes.
The minimum information details we collect for the purposes of registering are: full name and email address. This information is collected and safely stored in order to provide the user access to the Friends of Eltis membership, newsletter subscription, contribution of content (news, events, case studies, comments, forum entries etc.). If you do not wish to provide this information you will not be able to register as a Friend of Eltis, contribute content or receive communications from Eltis.
All the data collected through the online user profile form will be stored safely in our database system until the end of the contract, upon completion of which the data will be passed on to the European Commission. We take high security measures to safeguard the information against possible misuse or unauthorised access. The data will be kept in a highly secure server with daily backups. Only authorised personal has physical access to the server and can access the server file system via a remote connection. All the passwords used will be encrypted.
We also collect and store IP addresses of visitors to this website to understand who uses the website and to ensure the content is relevant. This is a legitimate interest of DG MOVE.
Throughout the duration of the contract, as well as after its completion, it is the European Commission who has the legal property of the Eltis website. The Legal Notice of the European Commission's web space therefore applies.
